How to Raise a Cancellation Request
All cancellation requests must be submitted in writing — via WhatsApp
message or email — to the HimTrails team. Verbal cancellations over a
call are not accepted as valid.
The cancellation date is the date on which HimTrails receives and
acknowledges your written cancellation request. Requests received
outside business hours (9 AM – 7 PM IST) will be processed the
following business day.

Cancellation Charges — Traveller Initiated
The following slab-based charges apply from the date your written cancellation is received by HimTrails:
- 30 days or more before departure: 25% of total package cost will be deducted as cancellation charges.
- 15 to 29 days before departure: 50% of total package cost will be deducted.
- 7 to 14 days before departure: 75% of total package cost will be deducted.
- Less than 7 days before departure: 100% of total package cost is non-refundable.
- No-show or cancellation after trip start: 100% non-refundable. No credit or adjustment will be offered.
Important: Advance payments are part of the total booking cost and are subject to the same cancellation slab as the full amount.
Date Change and Rescheduling
If you wish to change your travel dates rather than cancel, please contact us as early as possible. Date changes are subject to availability and the following conditions:
- Date change requests made 30 or more days before the original departure date: one free rescheduling allowed, subject to availability. Any price difference due to the new dates will be charged.
- Date change requests made within 30 days of departure: treated as a cancellation of the original booking. Standard cancellation charges apply. A new booking will need to be made at the then-prevailing price.
- Rescheduling is not available for group packages of 10 or more travellers unless agreed in writing at the time of booking.
Partial Cancellation — Group Bookings
If one or more members of a group cancel while others proceed with the trip, the following applies:
- The cancellation charge for the departing member(s) will be calculated individually based on the per-person cost and the standard cancellation slab applicable on the date of request.
- Any single-supplement charges or room reconfiguration costs that arise due to a partial cancellation will be borne by the remaining travellers or the cancelling member, as agreed with the HimTrails team in writing.
Cancellation by HimTrails
HimTrails reserves the right to cancel a confirmed booking in the following situations:
- Insufficient group size for a fixed-departure package, where the minimum participant requirement is not met. Affected travellers will receive a full refund or the option to reschedule.
- Safety concerns — including road closures, natural disasters, or government-imposed restrictions — that make the planned itinerary unsafe or impossible to execute. In such cases, HimTrails will offer rescheduling or a credit note as the primary resolution. Cash refunds in force majeure situations are at HimTrails’ discretion.
- Administrative or operational errors that prevent us from honouring a confirmed booking. A full refund will be issued in these cases.
- HimTrails will not be held liable for any consequential costs incurred by the traveller — including flights, personal travel, or accommodation booked independently — in the event of a HimTrails-initiated cancellation.
Force Majeure — Weather and Road Conditions
Himalayan travel carries inherent risks from forces beyond anyone’s control — snowfall, landslides, cloudbursts, river flooding, road blockades, strikes, government-imposed curfews, or natural calamities.
In such situations, HimTrails will make every effort to:
- Reroute the itinerary to accessible destinations of comparable value.
- Arrange alternate accommodation or transport where required.
- Adjust the programme to ensure maximum experience within the constraints imposed.
Cash refunds will not be issued for disruptions caused by force majeure events. Any additional costs incurred during such disruptions — extended stays, alternate transport, helicopter evacuation — are the traveller’s responsibility unless otherwise agreed in writing.
Refund Processing
Refunds approved under this policy will be processed within 7 to 10 working days from the date of cancellation confirmation by HimTrails.
Refunds will be made exclusively via the original payment method — bank transfer, UPI, or payment gateway reversal.
The following are non-refundable in all circumstances:
- Payment gateway or bank transaction charges (typically 1.5% to 3%).
- GST and government taxes already paid on the booking.
- Permit and documentation fees paid to government authorities on the traveller’s behalf.
- Costs already incurred by HimTrails — including hotel deposits, vehicle bookings, or activity reservations made prior to cancellation.
No refund will be issued for unused services during an ongoing trip — including meals skipped, sightseeing points not visited, or activities not participated in due to personal choice.

If your total package cost is ₹30,000 and you cancel 35 days before departure, a 25% cancellation charge (₹7,500) applies. You’d receive a refund of ₹22,500 minus any bank/gateway charges, processed within 7–10 working days. The earlier you cancel, the more you recover.
Not necessarily. If your request comes 30 or more days before your original departure, we offer one free date change subject to availability. Any price difference between your original and new dates will be charged. If you’re within 30 days of departure, standard cancellation slabs apply and a fresh booking is required.
The cancellation charge applies only to that individual, calculated on a per-person basis using the applicable slab for the cancellation date. If this creates a room-sharing issue — like a single room now needed for one person — any single supplement cost will be discussed and split fairly with the HimTrails team.
Road blockages in Himalayan terrain are a known reality. If a key route is blocked, HimTrails will reroute your itinerary to accessible destinations of comparable value wherever possible. Cash refunds are not issued for force majeure disruptions — this is standard across all mountain travel operators. If the entire trip is unviable due to a blockage, HimTrails will offer a credit note or rescheduling as the primary resolution.
If HimTrails cancels due to operational or safety reasons — not force majeure — you will receive a full refund of the amount paid. If cancellation is due to a natural disaster, road closure, or government restriction, we will offer rescheduling or a credit note. We are not liable for any third-party costs you may have incurred, such as independently booked flights or hotels.
Refunds are processed within 7 to 10 working days from the date HimTrails confirms your cancellation in writing. Bank and gateway timelines may vary — UPI refunds are typically faster than bank transfer reversals. If you haven’t received your refund after 10 working days, contact us on WhatsApp with your booking reference.
Yes. Payment gateway fees (1.5%–3%), GST already paid, government permit fees, and any vendor costs already committed by HimTrails on your behalf are non-refundable in all cases — even if you cancel well in advance.
Yes — in many cases a credit note is actually a better option, especially for force majeure situations where a cash refund isn’t available.
